01Who we are
Clearing Bars operates clearingbars.com.au from Melbourne, Australia. The trading entity behind the firm is operated by Paulo Da Silva. In this policy, "we", "us" and "our" mean Clearing Bars. "You" means anyone who visits the site, books a call, pays for an audit, or engages our services.
02What this policy covers
How we collect, use, store, share and protect personal information when you interact with us. This policy is written to comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
03What we collect
- Contact information. Your name, email address, phone number, clinic name, and (where provided) your ABN.
- Engagement information. Which booking platform you use (Cliniko, Power Diary, Nookal, Halaxy, Splose, or other), monthly visit volume, and operational context you share during the setup call.
- Payment information. Billing address. Card details are processed by Stripe. We never see or store your card number directly.
- Audit data. Read-only access to your booking system and up to six months of revenue data for the duration of the audit engagement. Aggregate booking and billing data only.
- Pulse call data (Quick-Start and RRS clients only). Pulse by Clearing Bars answers your inbound calls and routes booking requests into your existing booking platform. Pulse holds conversation transcripts on a rolling 24-hour window for quality assurance and then automatically deletes them. Caller phone numbers and stated names are passed straight into your booking platform and not retained on Clearing Bars systems.
- Website information. IP address, browser type, pages visited, and basic analytics signals.
04What we do not collect
We do not collect patient health information, clinical records, or clinical notes from your clinic. Our audit examines aggregate operational data only: booking flow, billing reconciliation, dormant-patient counts, no-show rates. AHPRA-regulated clinical data stays inside your practice management system, untouched by us.
05How we use what we collect
- To deliver the services you have engaged us for.
- To respond to enquiries and provide customer support.
- To send service-related emails (booking confirmations, audit deliverables, refund notifications).
- To send marketing emails only where you have opted in. You can unsubscribe at any time.
- To improve the service and the site through aggregate, anonymised analytics.
- To comply with our legal obligations under Australian law.
06Who we share it with
We share personal information only with third parties we rely on to operate the service:
- Stripe (payment processing). Stored in the United States. Governed by Stripe's privacy policy and data-protection commitments.
- Calendly (booking and scheduling). Stored in the United States. Governed by Calendly's privacy policy.
- Hostinger (site hosting). EU-based infrastructure, GDPR compliant. Governed by Hostinger's privacy policy.
- Google Workspace (business email and document storage). Stored across Google's global infrastructure. Governed by Google's privacy policy and data-processing terms.
- Twilio (Pulse telephony, Quick-Start and RRS clients only). Stored across Twilio's global infrastructure. Governed by Twilio's privacy policy.
- Australian Government bodies where we are legally required (for example, by court order or under the Privacy Act).
We do not sell, rent, or trade your information. Ever.
07Overseas data flows
Stripe, Calendly, Google Workspace, and Twilio operate global infrastructure that may store your information overseas, including in the United States. Hostinger operates EU-based infrastructure. By using our services, you acknowledge that your information may be transferred to and stored outside Australia. All these providers maintain their own data-protection commitments, and we have taken reasonable steps to ensure they comply with the APPs.
08How long we keep it
- Contact and financial records: seven years (Australian Taxation Office compliance).
- Audit deliverables: seven years (to support legal compliance and customer access requests).
- Marketing email lists: until you unsubscribe.
- Website analytics: anonymised after 26 months.
09Your rights under the Privacy Act
You have the right to:
- Access the personal information we hold about you.
- Correct anything that is inaccurate, out of date, or incomplete.
- Request deletion of your personal information, subject to legal retention obligations.
- Withdraw consent for marketing communications at any time.
- Make a complaint about how we have handled your information.

10Cookies and analytics
The site uses minimal cookies for analytics. We do not run third-party advertising trackers. You can disable cookies in your browser without losing core site functionality.
11Children
Our services are intended for clinic owners and operators. We do not knowingly collect personal information from anyone under 18. If you believe we have inadvertently collected information about a minor, contact us and we will delete it.
12Making a complaint
If you have a privacy concern, please reach out to us first at paulo@clearingbars.com.au. We will respond within 30 days and work with you to resolve the issue.
If you are not satisfied with our response, you can escalate the complaint to the Office of the Australian Information Commissioner (OAIC): oaic.gov.au or 1300 363 992.
13Changes to this policy
We may update this policy from time to time. The "last updated" date at the top of this page will reflect any changes. Material changes will be flagged to existing customers by email before they take effect.
